How to track EMS clinical and field hours

Clinical and field hours are required at every level, from EMT ride-alongs to a paramedic capstone field internship. The hours themselves are easy to count. What goes wrong is lost paper, unsigned sheets and students who discover in the last month that they're forty hours short.
Schedule from one calendar
Post shifts by site and let students sign up, or assign them. One shared calendar stops double-booking a site and shows at a glance which students have nothing scheduled.
Log the shift the day it happens
- Site, date, start and end time, preceptor, and the patients seen.
- Logged by the student from a phone before they leave, even without signal.
- Verified by the preceptor or approved by an instructor, never just self-reported.
Watch the pace
Compare each student's approved hours to where they should be by now, given the course dates. Flag anyone under about 80% of that pace, and talk to them while there's still time on the schedule.
Report by site
At the end of a cohort you'll want hours by student and by site, for your records, your affiliates and, for paramedic programs, the accreditation self-study.
